1. Overview

At webme.ie, protecting your privacy is our primary priority. This Privacy Policy details how we collect, store, share, and protect your personal information, call transcripts, and consent data when you use our website, custom AI receptionists, and telephony integrations. We operate in strict compliance with the **General Data Protection Regulation (GDPR)** and local Irish privacy directives.

2. Information We Collect

To provide our AI employee services, we collect:

  • Contact Information: Names, emails, business names, and mobile numbers submitted via our web forms.
  • Telephony & Call Data: Voice calls routed to our AI receptionists generate call audio records and automated text transcripts to allow scheduling and lead qualification.
  • Integration Mappings: Appointment coordinates, slots, and metadata synced from your calendars (Cliniko, Google Calendar, Outlook).
  • Device Data: IP addresses and tracking cookies processed to evaluate website traffic (e.g. Google Analytics).

3. How We Process Your Data

We only process data to fulfill operational services:

  • Configuring and training your business's custom AI receptionist.
  • Writing scheduled appointments directly into your clinic or office calendar.
  • Routing qualified lead summaries to your email or synchronized CRM.
  • Replying to Google Map reviews and optimizing local map search rankings.

4. SMS Consent Privacy Policy

We are committed to respecting A2P 10DLC SMS carrier guidelines:

Your mobile phone numbers, opt-in consent records, and SMS data collected on our site or through our integrations will never be shared, sold, rented, or leased to third parties, partners, or affiliates for marketing or promotional campaigns. All SMS notifications are sent strictly to manage your bookings, confirm schedules, or reply to direct customer inquiries.

5. Data Sharing & Sub-processors

We do not sell your personal data. To deliver the Services, we share encrypted data with trusted GDPR-compliant sub-processors:

  • GoHighLevel (GHL): Our central CRM and communication engine used to manage unified chat boxes, coordinate SMS notifications, and log lead histories.
  • Twilio: Used to lease secure Irish landlines and route SMS carrier communications.
  • Vercel: Our secure serverless website hosting provider.

6. Your GDPR Rights

As a resident of the European Union, you possess the following rights regarding your data:

  • Access: The right to request copies of your personal data.
  • Correction: The right to request correction of inaccurate data.
  • Erasure (Right to be Forgotten): The right to request deletion of your data.
  • Withdrawal: The right to withdraw your consent (such as replying "STOP" to SMS).

To exercise any of these rights, email Peadar Hynes at PeadarHynes@webme.ie or mail our Nenagh head office.

7. Data Security & Retention

We employ industry-standard secure socket layers (SSL) and database encryption to secure files. We only retain personal details and call records for as long as necessary to satisfy operational, audit, or legal requirements. Call recording transcripts are stored securely inside the EU.
